The HR Operations Senior Officer is responsible for managing, tracking and ensuring compliance on all employee information and documentation as dedicated by labour law, collective agreement, policies and procedures. The HR Operations Senior Officer is in charge of maintaining day to day HR operations and backing-up the Senior payroll Officer according to a work schedule determined by the Head of Rewards & Operations.
Your responsibilities will be as follows:
Drafting and managing contractual documentation all along the life-cycle of the employee in the company (employment contracts, amendments, letters, certificates and any other documents required) in cooperation with the Talent & Employee relations team
Managing the administrative on-boarding of new hires/off-boarding of leavers in compliance with the internal procedures in a smooth and efficient way: filling check-list, processing 4-eyes controls, background checking, fit & proper checking, logging IT tickets, organising mandatory medical examinations for new joiners, ensuring accurate set-up and tracking of trial period in the HRIS, any other related tasks
Maintaining and updating employee records in the HRIS all along the employee life-cycle in a timely manner
Ensuring the accurate maintenance and security of hard and digital personnel records for all staff in compliance with data protection regulation
Managing the HR mailboxes and answering employee queries according to LIA Service Excellence criteria
Providing guidance, managing and coordinating the application, renewal of work permit in accordance with the applicable regulation. Tracking and maintaining records of work permits in the HR system and ensure timely renewal or follow-up actions as needed
Serving as the backup for payroll preparation, control and processing as well as benefits administration
Participating in HR projects in line with business requirements. Identifying and suggesting of HR Administration processes improvement.
Given the small size of the Human Resources department, a degree of flexibility is required of each staff member who should expect to perform other tasks as required.
Your profile – Have you got what it takes to become our HR Operations Senior Officer?
Degree in HR and/or relevant professional training
Full understanding of HR functions and best practices
Between 5-10 years of experience in the field of Human Resources, preferably within Compensation & Benefits, HR Operations and/or HR Services
Strong knowledge in labour law, social security and immigration law
Client service oriented and solution driven
Pro-active, inquisitive and autonomous
Organizational and time management skills. as well as, meticulous attention to detail
Team player, ability to work in a changing and dynamic environment
Communication and problem-solving skills
Work well under pressure and ability to meet tight deadlines
Advanced skilled in Microsoft Word
Good command of Microsoft Excel
Fluent speaking and writing skills in English and French is mandatory.
Additional Assets
Extended knowledge of Collective Bargaining Agreement for the Insurance sector
Awareness of Fit & proper requirements under Solvency II
Experience in Protime and Bamboo HR
